Project Coordinator – Kahramaa Projects (Arabic Speaker)

Job Purpose:
To coordinate and manage all project-related activities for Kahramaa GTC works and Substation Projects, ensuring smooth execution, timely approvals, and compliance with KM requirements. The role focuses on handling approvals, manpower coordination, documentation, and liaison with Kahramaa officials for ongoing O&M, fault rectification, and substation-related works.

Key Responsibilities:
1. Kahramaa (KM) Approvals & Access Coordination:
  • Handle all KM-related applications for GTC and Substation works, including:
    • Gate Pass applications for manpower and vehicles
    • LOA (Letter of Authorization) processing
    • Master Key requests for substation access
    • Work permits and shutdown requests
    • Material & tool approvals
  • Coordinate with KM authorities (Transmission/Distribution departments)
  • Track approval status and ensure no delays in site mobilization.

2. GTC Project Coordination (O&M / Fault Response):
  • Coordinate General Tariff Contract (GTC) activities such as:
    • Emergency/fault rectification works
    • Preventive and corrective maintenance.
    • Cable fault identification and rectification.
  • Mobilize teams quickly for urgent KM calls.
  • Ensure availability of required tools, equipment, and access approvals.

3. Substation Project Coordination:
  • Support coordination for substation projects (132kV / 220kV / LV-MV works)
  • Liaise with:
    • Relay Protection teams
    • Testing & Commissioning engineers
    • Cable jointers and fitters
  • Coordinate shutdown schedules and work execution in live substations.
  • Ensure safety compliance and documentation for all site activities.

4. Technical Team Coordination:
  • Coordinate field teams including:
    • Cable Jointers
    • Fitters
    • Relay Protection & Testing Engineers
  • Plan site manpower allocation as per project requirements
  • Track work completion and productivity

5. Meetings & Liaison with Kahramaa:
  • Arrange and coordinate meetings with KM Engineers and Inspectors
  • Prepare documentation, MOM (Minutes of Meeting), and follow-up actions
  • Maintain strong working relationships with KM officials
  • Act as a point of contact between KM and company teams

6. Prequalification & Vendor Management:
  • Handle KM prequalification submissions for:
    • Company registration and upgrades
    • Supplier/vendor approvals
  • Maintain an updated database of KM-approved suppliers and subcontractors
  • Support tendering for GTC and substation projects

7. Documentation & Final Submission:
  • Prepare and submit complete project documentation including:
    • As-built drawings
    • Test reports (relay, cable, commissioning)
    • Work completion reports
    • Shutdown and restoration records
  • Ensure all submissions comply with KM standards and formats

8. Self-Execution Project Coordination:
  • Manage internally executed projects (self-performed works)
  • Track deliverables, timelines, and materials
  • Coordinate between procurement, stores, and site teams
  • Ensure timely project completion and handover

9. Compliance, Safety & Reporting:
  • Ensure full compliance with Kahramaa safety and operational standards
  • Maintain project trackers for:
    • Approval status
    • Work progress
    • Pending activities
  • Submit regular reports to management on:
    • Project status
    • Delays and risks
    • Resource requirements

Key Requirements:
Education:
  • Bachelor’s Degree in Electrical Engineering (Preferred) / Diploma with relevant experience.

Experience:
  • Minimum 4–6 years of experience in Qatar, specifically in:
    • Kahramaa GTC projects
    • Substation (Transmission/Distribution) projects
  • Hands-on experience in KM approvals, shutdowns, and documentation

Skills:
  • Fluent in Arabic (Mandatory) and English
  • Strong understanding of:
    • KM procedures and workflows
    • Substation operations and coordination
    • GTC contract execution
  • Excellent coordination, follow-up, and problem-solving skills
  • Proficiency in MS Office and documentation handling

Preferred Qualifications:
  • Experience working with KM Transmission & Distribution departments.
  • Familiarity with cable systems, protection schemes, and substation equipment.
  • Existing contacts/network within Kahramaa (added advantage).

Key Competencies:
  • Strong follow-up with KM authorities.
  • Ability to handle urgent/emergency project requirements.
  • High attention to detail in documentation.
  • Multi-tasking in fast-paced project environments.

Reporting To:
  • Project Manager / Operations Manager

Additional Requirements:
  • Valid Qatar ID with transferable visa
  • Driving license (preferred for site coordination)
